WhatsApp CRM integration. Decide what happens next.

A WhatsApp CRM integration should answer a practical question: what should an employee do after reading the message? We map that decision to a record, an owner and a measurable next step. For ERP projects, we also identify the document or operational event behind the conversation.

(02)what we connect

How we connect WhatsApp to CRM

WhatsApp CRM integration workflow: WhatsApp enquiry → CRM or ERP record → Owner and next action.
Example workflow to configure
01

Choose the record that matters

A quotation request and a delivery question may arrive at the same number but require different information. We identify the system responsible for each record and the minimum details the receiving team needs. A chat should not create a second, competing version of the customer file.

02

Make ownership visible

We write down who receives a new enquiry, who keeps an existing customer and where unanswered messages go. We also agree what happens outside working hours or when the usual adviser is absent. Those decisions become the brief for the connection.

03

CRM WhatsApp Business: test the full journey

The test is more than receiving a message. We follow a sample enquiry through identification, assignment, reply and the next agreed action. Repeated messages, missing fields and interrupted connections are included so the team knows how to recover work.

(03)our approach

From your process to a useful integration.

We start with one workflow, validate it with your team and document how to maintain it. The scope follows your configuration.

Discuss my integration
01

Understand the process

We review how enquiries arrive, who handles them and what information they need. Together, we choose a first use case and how to measure it.

02

Prepare the connection

We check licences, the number, permissions and fields. We define templates, assignment rules and how to handle failed operations.

03

Test with your team

We validate messages, records and follow-up with test cases. We refine the workflow before using it with customers.

04

Launch and support

We document the configuration and train the people responsible. We agree on support and how to review results.

(04)questions

Before you connect.

Which should we connect first: the CRM or the ERP?

Start with the task that currently causes the most manual work. If advisers cannot find the owner of an enquiry, the CRM is usually the first place to examine. If they keep looking up quotation references or order documents, review the ERP workflow. We can map both, but the first delivery has a defined starting event and a clear finish.

What information do you need to assess a WhatsApp CRM integration?

Bring the software edition, the current number setup and one anonymised example of a difficult handover. A sketch of the fields your team uses is more useful at this stage than a large database export. We turn that example into a proposed route and list the permissions or product functions still to verify.

How do you decide between a native channel and a connector?

We compare each route against the agreed task: which records it can reach, who can operate it, how a failed action is reported and who maintains it. The cheapest licence does not settle those questions. Our proposal identifies the chosen route and any step that still needs a person.

What marks the end of the implementation?

We agree acceptance checks before setup begins. They might include recognising a returning contact, preserving the assigned owner or making a quote reference available to the adviser. The handover includes the configuration, test results and an explanation of what the team must do if the connection stops working.
